For the team at the entrance

Admissions brings ticket holders forward, then records who has entered. Keep your usual event ticket checks. Choosing a group or entering a reference in QueueFinder does not validate a paid ticket or an entitlement to that group.

Prepare your event

  1. Organisation owners: open My venues → Change setup, select Admissions alongside any other options you need and save. For a new venue, select Admissions during setup and complete ownership verification.
  2. Open Admissions queue settings in the sidebar. First-time setup creates a queue and session with joining closed. Select that session or choose New event session and give it a clear name.
  3. Owners and managers: open Queue settings to set the call message, Where to go, whether an event ticket reference is required and whether customers can see group progress. Choose Save queue settings.
  4. Add any groups, such as Balcony or General admission, under Session groups. Check each group’s entrance instructions before opening joining.
  5. Invite the team to the correct venue. Open joining only when the session, groups, instructions and QR are ready.

Share the right QR or link

Owners and managers: open Admissions QR codes in the sidebar and select the event session. Choose Print flyer, Download QR image or Copy joining link. Label your sign with the session name and keep it separate from Walk-in and Collection QR codes. Test it on a phone before displaying it.

The joining link can be shared with ticket holders online as well as displayed at the entrance. It can be opened away from the venue while joining is open, so tell people when to arrive. Replace QR… makes old printed codes and shared joining links stop accepting new registrations. Replace every copy; existing private tickets still work.

Find the tickets you need

Open Admissions dashboard, check the venue and Event session, then choose Waiting, Called or another status. Use Group filter for a particular group. Sort tickets offers oldest or newest check-in, admission number and event ticket reference. Find on this page searches the loaded page; check the next page if needed.

For example, choose Balcony, then sort by Event ticket reference to find its ticket holders in reference order. Dashboard totals still cover all groups. Call next uses the oldest check-in across all groups, even if you are viewing one group or a different sort order.

Call one ticket or several together

  1. For one oldest waiting ticket across the session, use Call next. To choose tickets yourself, tick their checkboxes and open Call tickets….
  2. Choose the call scope you need: selected tickets, the next number, the next percentage, a group or everyone still waiting in the session. Use a scope that matches the people you want to bring forward.
  3. Choose Preview call. Read the ticket numbers, count and entrance instructions carefully. The preview fixes the tickets for this call; people joining later are not added.
  4. Confirm the call once. The tickets become Called. Customers with alerts enabled can receive a notification, then reply I’m on my way. Check the result before trying again if a connection error leaves you unsure.

Calling does not dial a phone number or admit anyone. An alert being sent does not prove it has been seen. On my way is included within Called, so do not add those two counts together.

Check the person, then admit their ticket

Check the admission number, event ticket reference and group against the event ticket. When the person enters, choose Admit #… on that specific ticket. A call to several people still needs an individual entrance check for each ticket.

Handle a mistake or a missed call

ActionWhat to do
Wrong person calledUse Return to waiting after checking the ticket. For a mistaken call to several people, View last call and return eligible tickets to waiting. An alert already received cannot be taken back; speak to the people affected.
Wrong reference or groupWaiting customers can edit their own details from Ticket options. Staff can use the available correction actions. Check the group and call instructions before calling again.
Person has not arrivedCheck with the entrance team before using No-show… on a Called ticket. No response alone does not prove someone missed the call.
Accidental or unwanted registrationUse Cancel ticket… on a Waiting or Called ticket. Check its number and reference in the confirmation. It leaves the active queue and stays in Cancelled and Admission history; it is not deleted. This does not cancel or refund the event ticket.
Accidental admissionUse Correct admission… and give the requested reason. Check the ticket’s updated state before taking another action.
Reminder neededUse Send reminder on the correct Called ticket where available. Check the result and any cooldown message before retrying.

Pause joining or finish the session

Owners and managers can choose Pause joining… on the dashboard and confirm. This stops new registrations while existing tickets remain active. Use the information icon beside it for a reminder. Choose Open joining… and confirm when ready to accept more people. Pausing does not replace the QR code.

To finish an event session, resolve all Waiting and Called tickets first. In Admissions queue settings, choose End session… and review the confirmation. Ending a session closes joining and stops its joining QR from working. It cannot be reopened; create a new named session for the next event. History is kept.

Find history and session totals

Use Admission history in the sidebar for past tickets, call batches and recorded changes. Choose the right session before searching. Admissions analytics shows current ticket outcomes and group totals for the selected session. These are QueueFinder registrations, not ticket sales, a count of every person at the event or proof of a no-show.
