Owners, managers, and staff can operate tickets. Collection settings, Pause/Resume, QR printing, and reports are owner or manager only.
Prepare the venue and team
- Choose Order collection or Both during setup. Complete ownership verification and check that the venue is active.
- Select the correct venue and open its Collection dashboard. Make sure orders are being accepted.
- Owners/managers: open Collection settings and check the collection window. The default is 15 minutes — the clock starts when you mark an order Ready, not when the customer scans.
- Print and test the collection QR at your counter. Invite your team so they can see the dashboard.
From payment to collection
- Take the order and payment in your usual till. Give the customer their receipt number. You do not need to register the order in QueueFinder.
- The customer scans your collection QR and enters that number. Their ticket appears in Live orders as Waiting.
- When the matching food order is ready, select Ready for collection. The customer gets a browser notification if they have enabled alerts.
- Hand over the order using your usual receipt checks, then select Collected. If you already handed over the food before their ticket appeared, just mark it Collected.
If alerts are off, call the number or use your normal collection method.
Customers who don't scan the QR and enter their receipt number won't appear on this dashboard.
“Accepted by provider” means the notification service accepted an alert; it does not confirm that the customer received or saw it.
Use Live orders and History
Live orders keeps Waiting, Ready and uncollected Expired tickets together. Use each row’s actions on desktop; mobile shows compact cards in portrait or landscape. Status shows the ticket’s current state. The dashboard refreshes automatically while visible; use Refresh when needed.
Orders are listed newest first. Choose Older registrations for older ones. The time shown is when the customer submitted their receipt number, not when you took the order. History shows collected orders and closed tickets, including tickets customers stopped tracking. Check the selected venue and receipt number before acting.
Check duplicate receipt numbers
If two customers enter the same number, each ticket gets a letter (A, B) so you can tell which order is which. Ask them to show their receipt and ticket — the letter alone doesn't tell you which order was placed first.
Correct an accidental Ready
- On the Ready ticket, choose Not ready and read the confirmation before returning it to Waiting.
- If an alert was already sent, it cannot be recalled. The customer ticket explains that Ready was a mistake; speak to the customer when needed.
- When the order really is ready, mark it Ready again. This starts a fresh collection window (15 minutes by default) and sends a new alert if the customer has enabled alerts.
Customers can fix their own receipt number while their ticket is still in the Waiting stage. If a Ready customer reports a wrong number, check the receipt and order with them using your usual process.
Resolve expiry and unfinished tickets
| Ticket state | What staff can do |
|---|---|
| Waiting | Mark Ready, mark Collected directly, or confirm Close tracking. |
| Ready | Mark Collected, or confirm Not ready to return it to Waiting. |
| Expired | Mark Collected if handed over, or confirm Close tracking to move it to History. |
| Tracking closed after expiry | Find it in History and mark Collected if the customer collected later. |
| Collected, Stopped tracking or closed while Waiting | Keep as read-only history. |
Close tracking removes a Waiting or Expired ticket from Live orders without marking it Collected. Use Collected when you know the order was handed over. Closing an Expired ticket retains its expiry history and permits later collection from History; closing a Waiting ticket does not.
Expired means the collection window closed before the order was marked Collected. The food may still be fine — use your normal process to decide what to do.
Pause registrations and adjust expiry
Owners and managers can use Pause registrations to stop new tracking tickets from coming in, then Resume registrations when ready. Existing tickets, Ready deadlines, and alerts continue while paused. Pausing collection doesn't affect walk-in service at a venue that uses both modes.
In Collection settings, set the collection window in minutes and save. Changes apply to future Ready actions — tickets already Ready keep their original deadline. Waiting has no expiry timer.
If the dashboard or an action fails
If a refresh fails, the list can be out of date and actions stay disabled until it refreshes successfully. If an action reports a conflict or the response is lost, refresh and review the ticket before trying again. Don't assume the change failed or click a button on a different ticket with the same receipt number.
